Local Administrators: Your Eyes, Ears and (Often) Engineers

In thinking about security, it’s never a bad idea to have a security guard. That’s why we always recommend appointing a Local Administrator who is responsible for all things PromoSuite. We particularly see this useful for user access and security rights.

We can’t go a year without hearing a news story about a former employee finding creative ways to get back at the company they just left–data theft, hijacking the company’s websites, leaking sensitive company information, you name it. These situations can all be prevented by simply having a dedicated local admin.

Apart from being a huge time saver and security upgrade, there are several benefits to having someone assigned as your PromoSuite Next local admin. On the time-saving front:

  • Dedicated password management! If a user locks themselves out of an account, a local admin can go in and unlock them. By using automatic alerts, the user doesn’t even have to ask.

  • If that same user happens to forget their account credentials, the local admin can go in and find out what email is associated with that account, so that the user can reset their password! Better yet, they can even update that associated email.

User management is where a local admin can really earn their keep. For new employees in need of PromoSuite Next access, your local admin can jump into the system and create new users. Depending on the responsibilities of the employee, they will be able to assign them to one of the user groups. If it turns out the group doesn’t cover the entire scope of that person’s duties, the admin can grant individual access to different sections in the system. This allows you to manage every aspect of your promotions process to a T. On the flipside, if an employee is scheduled to be leaving the company, you can go into PromoSuite Next and lock that account before any personnel changes are announced. By having local admin controls access to your listener databases, you can best protect your listener's sensitive information!

It may be difficult to decide who should shoulder the responsibilities of the local administrator, but in our experience, we’ve found that the Engineers/IT Department is best suited for the job. These are the people you already rely on for 24/7 technical help, so why not have them involved in PromoSuite Next as well?
